School offices are full of official documents that need to be received and sent. Apart from official documents other kinds of paperwork proliferate as well leading to more and more filing cabinets – while office space becomes smaller and smaller. Often a single document forces a search of all filing cabinets resulting in a great deal of wasted time. As there is no electronic version of some paper documents they can’t be edited for reuse either.

To improve speed of document retrieval, reduce document storage space and allow documents to be edited for reuse, the digitization of documentation is proposed. All documents used during the academic year are preserved in an electronic format so they can be quickly looked up or edited for reuse. By providing local government schools with electronic processing and security architecture, the result is a processing mechanism that is efficient, secure and conforms completely to government regulations.
